From enquiry to enrolment: Planning your childcare start
By Little Woods Early Learning5 min read

Organising childcare can feel like a puzzle, especially when you are also planning a return to work, changing routines or choosing care for the first time. You do not need every detail settled before making an enquiry. It helps to know what you need, where you can be flexible and which questions to ask next.
This guide will help you move from an initial plan towards a confirmed start. Enrolment processes vary between centres, so check current requirements directly rather than assuming an enquiry or tour secures a place.
Start with your family’s care needs
Before contacting a centre, write a short summary of what care needs to make possible for your family. Think beyond working hours to include travel, study, caring responsibilities and the practicalities of drop-off and collection.
Separate essentials from preferences
Consider:
- Preferred days: Which days are essential, and which could change?
- Start timing: Do you have a firm deadline or a preferred window?
- Daily routine: When would you realistically need to drop off and collect your child?
- Ongoing arrangements: Are you looking for a regular pattern of care, or might your needs change?
- Your child’s needs: What should educators know about feeding, sleep, communication, comfort, health or access requirements?
For example, a family might need care on particular workdays but be able to adjust their start timing. Another family might have a fixed return-to-work date but flexibility about days. Explaining that distinction makes an availability conversation more useful.
You do not need to have all your child’s routines perfectly organised. The aim is to share a realistic picture, not prepare them to meet an imagined standard.
Make your first enquiry clear and practical
Include your child’s age, preferred care days, intended start timing and any flexibility. Let the centre know the best way to contact you.
A simple message could be:
We are looking for care for our child, ideally on these days and around this start period. Our essential days are listed below, but we have some flexibility. Could you explain current availability and the next steps towards enrolment?
If your child may need additional planning or adjustments, ask how to discuss those needs privately. There is no need to send detailed health records in an initial enquiry. First confirm what information is needed and how to provide it securely.
For Little Woods, use Contact to ask about current availability and confirm the centre’s enquiry and enrolment process.
Confirm what availability actually means
An available place needs to match your child’s age, required days and start timing. A general indication of availability is not necessarily an offer for the arrangement you need.
Useful questions include:
- Are the requested days available for my child’s age and intended start?
- If only some days are available, what options can we discuss?
- Is there a waiting list, and how should we keep our preferences updated?
- What happens between an enquiry and a formal offer?
- How will an offer be communicated, and when would we need to respond?
- At what point are our days and start date confirmed?
If you are considering an alternative arrangement, check whether it would genuinely work for your family. Do not assume that accepting different days means your preferred days will become available later.
Where possible, keep a backup plan until your care arrangements are confirmed.
Use a visit to check the everyday fit
A visit can help you picture the daily routine, not just the enrolment process. Bring your practical questions and notice what you would like to understand better.
Ask how educators exchange information with families, support children at drop-off and work with individual sleep, feeding and comfort routines. Discuss any communication preferences, cultural practices or accessibility needs that matter to your family.
Also confirm what is included in care, what families supply, current fees and any terms that affect your decision. Ask for written information so you can review it without trying to remember everything from a conversation.
Organise paperwork once requirements are clear
Ask for the centre’s current document checklist and submission instructions. Depending on the service and your circumstances, requested information may include:
- Child and parent or carer details.
- Emergency contacts and authorised collection arrangements.
- Relevant identity or immunisation documentation.
- Health information, allergies and any required management plans.
- Permissions, agreements and payment details.
- Information about routines, interests and ways to comfort your child.
Check which documents are needed before an offer can be accepted, before orientation or before the first day. Ask who can help if something is missing or unclear.
If a health care plan or other professional documentation is requested, speak with your child’s GP or relevant treating professional about preparing it. Use the centre’s nominated secure method for sharing sensitive information.
Plan orientation and the first days
Orientation arrangements differ, so confirm what is offered and how it connects with your start date. Ask whether you attend with your child, what to bring and how educators will learn about your child’s routines.
You might share familiar words, comfort items, feeding preferences and what usually helps when your child is upset. Ask how the centre will communicate with you during the settling-in period.
If your circumstances allow, consider some flexibility around the first days. Discuss possible arrangements with the centre rather than assuming shorter sessions or particular orientation options are available.
Do a final check before starting
Keep the key details together in one place:
- Confirmed attendance days and start date.
- Accepted offer and completed agreements.
- Outstanding documents and agreed deadlines.
- Orientation arrangements.
- What to pack and label.
- Drop-off, collection and absence procedures.
- The right contact for questions or changes.
Tell the centre promptly if your needs change, and ask for any revised arrangements to be confirmed in writing.
